Record Meetings

Only the host of a meeting can record a meeting. See "Quick Start" for how to set up a recording session when there are multiple presenters in a meeting.

To record a meeting, simply check "Enable Recording" under the Meeting menu or click the recording icon on the toolbar prior to starting a meeting. The recording option cannot be changed once a meeting is started.

You can choose to record audio with a meeting. See "Audio Recording and Webcast" for details.

Edit Recording Properties

To edit a recording, double-click the recording to open the "Meeting Properties" dialog box. You can change following properties:

  1. Meeting information: title and description
  2. Login options: name, password, or registrations
  3. Playback events: edit the timecode and the label of playback events

The playback events are displayed in the "Replay" menu of the WebMeeting123 Viewer during a replay and allow seeking during the replay.

Editing the timecode (in the format of hh:mm:ss) part of an event allows you to change the start time of an event relative to the start of the meeting. Adjusting the timecode gives you control to synchronize event and audio playback. For example, if you want a slide to show up 5 seconds before the presenter starts talking about it, you can subtract 5 seconds from the slide event's timecode.

Event labels are by default defined as the name of the event, such as "StartMeeting", "SendDocument", and "EndMeeting". For slide events, the title of the slide is used as the event label if it exists. You can change the event labels to whatever text you want.

Some events, such as sending a message or adding an attendee, are not displayed in the event list by default. You can check "Display hidden events" check box under the "Playback" tab to show them. You can toggle the display of an event in the event list by right-clicking the event and select "Show".

Notes:

  1. The date and time information of a recording refers to the date and time of when the recording was made. The duration is the length of the recording. You cannot change the start date, time, and duration of a recording since the meeting has already occurred.
  2. The "Audio webcast" checkbox in the Meeting Properties dialog box of a meeting is automatically checked if the recording has audio. You cannot change this property.
  3. Changing the "StartAudio" event timecode will change the audio playback start time.
  4. You cannot change the timecode of the first (StartMeeting) and the last (EndMeeting) events.

Export Recording

The "Export recording" function allows you to download an online recording to a local folder on your computer for off-line playback or archive.

To export a recording, right-click the recording in the meeting list and select "Export Recording". The recording can be exported entirely in the HTML format or in the MP3 format for audio only.

Notes:

  1. The contents of the recording are stored in a folder with the same name as the exported HTML file. You should keep both the HTML file and its contents folder together when moving the recording.
  2. Currently, background pictures will not be exported with the recording.

Import Recording

The "Import recording" function allows you to upload an exported recording to a meeting room and make it available online.

You can also use import recording to copy a recording from one meeting room to another. To copy a recording, you first export the recording from the first meeting room to a local folder on your computer and then import it to the meeting room you want to copy the recording to. You can also use it to copy a recording in the same meeting room.

To import a recording, select "Import Recording..." in the "File" menu. Choose the HTML file of the recording to import.
